People List

This facility is crucial to the smooth operation of Qudos 3. It may be accessed from the People link on the main screen, or from menu item:

A version of this form may also be displayed from buttons associated with name fields throughout the application.

Filter options:

Filter Type Description
Name Keyword search Free text field. Select people that have a selected character string in their name e.g. typing 'Wil' and running a search would find 'Wilson', 'Williams', 'Wilkins' etc.
Status Combo box Active or Inactive with regards to your organisation
Location Combo box Geographic - The relevant area or place. Select from user-defined options
Business unit Combo box Organisational - The relevant business unit or department. Select from user-defined options
Person type Check boxes A series of check boxes to categorise those displayed. These boxes are nor mutually exclusive e.g. you may select 'Auditor' AND 'Employee'

The default filter options are defined by a global setting applied by your system administrator in People Filter Settings.

You may filter the list by making selections using the tools described above.

The Search button will apply the selected filter options. The Reset button will restore the default settings.

Fields displayed:

Fields Description
Employee number The employee number from your HR system
Title The persons' title
Name A combination of the persons' given and surnames
Position The persons' role or position within your organisation
Email The persons' email address
Phone The persons' work telephone number

You may change the sort order of records by clicking on the title of any column. Alternate clicking will change the sort order to ascending or descending. This will affect the sort order as viewed onscreen. It will not change the order permanently, or affect any reports generated.

For navigation to more records, the table has a Paging tool at the bottom.

Buttons:

Button Function
Search Limit the list of people to the criteria shown at the top of the form
Reset Reset the search criteria shown at the top of the form to the default values
Procedure (1) Open the document that contains the People procedure
New (1) Add a new record of a document being distributed to someone
Edit (1) Edit the selected record
Close (1) Close the People List
Return (2) Choose the currently selected person.

(1) These buttons do not appear when the People List is activated from the name fields throughout the application.

(2) This button only appears when the People List is activated from the name fields throughout the application.

Functions menu:

Item Function
New Add a new record of a document being distributed to someone
Edit Edit the selected record
IDPs Shows the list of the selected person's Individual Development Plans
Training Records Shows a list of the courses the selected person has attended
