Document Details

This form appears when you select the Edit Details button or Functions menu item Edit in the Master Document List. It enables you to create or edit the metadata or details about a document.

Fields displayed:

Field Description
File Name Browse field: To select a file to be connected to the document record. This file name will appear in printed reports of the Master Document List
Number Alphanumeric text field: Number / code that you use to identify the document. Qudos 3 includes an option for this field to be an automatically-generated 6 digit number. If your System Administrator has chosen that option, the number field will not be editable.
Title Alphanumeric text field: The title of the record e.g. 'Training procedure'
Document Type Drop-down list: The nature of the document e.g. procedure, form, letter etc.
Topic Drop-down list: The primary subject matter for the document
Document owner Drop-down list / Search form: The person responsible for the document. In many cases, this will be author
Business Unit Drop-down list: The applicable department or business unit
Location Drop-down list: The applicable room, building, site, or geographic area
Corporate Doc. Checkbox to indicate whether the document has a corporate or just a local application
Revision No. Whole Number: Indicates the current revision of the document. It has a default setting of zero.
Revision Date Calendar field: Indicates the date that the record was created, or last revised.
Notes Text field: For making general notes about the document. This text will appear in printed reports of the Master Document List
