Document Distribution List

This is the distribution list for all documents. It is available from the menu item:

—>Modules
—>Documents
—>Distribution list

Its purpose is to show who has been issued with what documents (each copy-holder may not necessarily be issued with a copy of every document on the Master Document List). It is used to maintain a record of the actual distribution of documents to people - either hard or soft copies.

Fields displayed:

Field Description
Document Type A category for the document to belong to e.g. procedure, form, letter etc.
Number A number / abbreviation that you use to identify the document
Title The title of the record e.g. 'Training procedure'
Name The person that was issued with a copy
Position Their role in your organisation
Copy number Number of their copy
Issued Date the document was issued to that person
Returned Date that person returned the document

You may change the sort order of records by clicking on the title of any column. Alternate clicking will change the sort order to ascending or descending. This will affect the sort order as viewed onscreen. It will not change the order permanently, or affect any reports generated.

For navigation to more records, the table has a Paging tool at the bottom.

New Add a new record of a document being distributed to someone
Edit Edit the selected record
Close Close the form
