How to link an action with related actions
An Action Form has a number with two digits after the decimal point e.g. No. 256.00. Where these digits are 00 we call it a Primary Action form, the 'Related Actions' tab may be used to generate up to 99 related Actions in a parent-child relationship. For example, Action Form No. 256.00 may generate 256.01, 256.02 and so on, up to 256.99. This feature can be used in a number of ways to suit individual requirements.
Example A - Sub-issues:
It may be used to link one Action Form that addresses
a major issue with numerous others that deal with smaller, component parts of that issue.
In this instance, it may be considered that you don't close out the parent action
until all the child actions have been closed out.
Example B - Root cause analysis:
It may be used to link an Action form that highlights
a problem and deals with its immediate solution to another Action form that addresses
actions to investigate and eliminate the root cause(s) of that problem.
Steps:
From the original or parent Action Form:
| Step | Activity | Result |
|---|---|---|
| 1 | Click Related Actions tab | Displays a list of any existing, related Actions |
| 2 | Click New button | Generates a new related Action form with a subordinate number e.g. if original is number 65.00, related Actions will be numbered 65.01, 65.02 etc. |
| 3 | Complete the new Action Form as required | |
| 4 | Click Save button | Saves Action Form, adds it to the Actions List and a permanent link is created between the parent and child actions |
| 5 | Click Close button | Closes the Related Action.
If the 'Assigned to' person or the text entry in the 'Event / Subject' field has been changed, an email may be automatically generated to the 'Assigned to' person. When the record is fully completed (data entry and lock in each of the 4 major tabbed sections), an email may be automatically generated to the person who initially recorded the Action. For more information, go to Event-based email |
