Training - Overview
General discussion
All compliance management standards have requirements for training people to help ensure their competence and awareness. Competency may be broken down into four aspects:- Task skills - to perform a task
- Task Management skills - to manage a number of tasks within a job or project
- Contingency skills - to deal with an exception to the norm
- Job environment skills - to deal with the expectations of the job and its environment (including working relationships with others)
Training may also focus on ensuring that people have adequate awareness of hazards and risks, applicable legislation, their responsibilities and other aspects of the organisation and their role in it.
One area that should not be overlooked is the provision of training for those responsible for establishing, maintaining and operating your management system itself. Organisations that are implementing a compliance / risk management system for the first time or improving on an existing system are well advised to have all personnel attend at least a System appreciation or awareness session. This should be aimed at giving them an understanding of the objectives of the system, and their role in its success. Basic training should be provided on how to access procedures and other documents, how to report actual or potential problems, and the importance of keeping proper records. Of course, that may include the use of this application. Specific training is likely to be needed for certain people e.g. Compliance, Quality or OHS Managers, Co-ordinators, Safety Representatives, and Internal Auditors.
All control systems need feedback keep them on track. Management systems are no exception, and internal audits are their key feedback mechanism. To illustrate the importance of internal audits, they are a mandatory requirement of standards such as ISO 9001 (Quality), ISO 14001 (Environment), and OHSAS 18001 (Health and Safety). See Training References for more. Internal audits can help your organisation maintain compliance, and achieve its objectives. However, may do not get the full benefits that perhaps they should. As with many activities, a little training can go a long way to improve performance.
Qudos offers several types of training to help improve your management system. These include, software user training, management systems coaching, and internal auditor training. See Qudos Training Services for more information.Concept of the Training module
In this module, facilities are provided to record the provision of training. The module is also closely associated with the People module (for the generation of Skills and Skill categories, and the recording of Individual Development Plans that may include training requirements).
Definitions
For the purpose of consistency in using this software, please note the following definitions:
Course
Type of course
Session
Instance of a course
For example, you may have a 'First Aid' course in your Course List. You may have numerous instances (sessions) of it being held or planned in your Training Schedule.
Component Parts
The components in this module include:
- A Training Schedule with data entry form to record individual training sessions
- A Course List with data entry form to specify details about each type of course
- A Training Providers List, plus data entry form to describe each training provider
- Query facilities - that provide numerous options to get information from your training matrix
The training module may be set up in one of two ways:
Simple model
Courses are listed, then individual instances or sessions are scheduled. Your training matrix may
be queried on the basis of an individuals' training record, attendance at a particular type of course,
training sessions held over a selected period of time, and a refresher report.
Advanced model
A series of skill categories and skill codes are created.
See How to create skill codes for more information.
When Courses are listed, these skill codes may
be associated with them, and a person attending a training session is deemed to have acquired those
skills. In addition to the query facilities mentioned in the Simple model, you would now have
additional facilities to run queries based on the skills acquired during training. This model takes
more time in configuration, but offers more information if required.
The toolkits - for guidance, training and procedures
The Quality Manager, Safety Manager and Enviro Manager toolkits include guidance on the requirements of relevant national / international standards, and sample procedures. These toolkits may be accessed from the Qudos 3 Main screen, and Help menu
